Accounts payable software for QuickBooks Online, compared
Accounts payable software for QuickBooks Online captures vendor bills, routes them for approval, pays them by ACH, card or check, and syncs the bills and payments back to QuickBooks so nothing is entered twice. QuickBooks Online can record bills and, through its own payment service, pay some of them, but approval workflows and automated bill capture are where dedicated AP tools earn their place.
Most AP tools make money partly on payment fees, so compare the per-payment costs as well as the subscription. Eligibility matters too: several of these products serve US-based businesses only.
5 tools compared, listed alphabetically, not ranked. OutflowDesk is our own app; we have tried to describe it as plainly as the others. Pricing and features checked October 2026; confirm with the vendor.
How to choose
- Bill capture: email or upload with automatic reading of vendor, amount and due date, so bills are not keyed by hand.
- Approvals: rules by amount, vendor or department, with a record of who approved what.
- QuickBooks Online sync: two-way and automatic, and on which plan. Some tools only offer manual import on their entry tier.
- Payment methods and fees: ACH, check, card and international, and what each costs per payment.
- Controls: duplicate-bill warnings and payment scheduling that pays on the due date rather than early.

The options in more detail
BILL
BILL captures bills, routes approvals and pays vendors by ACH, check, card or international payment, and warns when a duplicate invoice exists. Automatic two-way QuickBooks Online sync starts at the Team plan ($65/user/mo); Essentials relies on manual import and export. Payments carry fees (for example $0.59 per ACH payment).
Melio
Melio lets you pay bills by ACH, card or check, including paying by card when the vendor does not accept cards. Full QuickBooks Online sync starts at the Core plan ($25/mo, or $20/mo annually). It is a simple, low-cost choice when you mainly need to pay bills and keep QuickBooks updated, with light approval needs.
OutflowDeskOur app
OutflowDesk is our AP app: bill capture, approval routing, payment scheduling to protect cash, and 1099 tracking on top of QuickBooks Online. It does not move money itself: approved payments are exported as a bank file for your bank to execute. If you want the payment rails built in, BILL or Ramp cover the same ground and more, and Melio is the low-cost choice for very small volumes.
Ramp
Ramp's Bill Pay reads invoices, routes approvals and pays by ACH, card, check or wire, and it flags duplicate bills before payment. The free plan includes the QuickBooks Online integration. Eligibility is the main constraint: sole proprietors are excluded and a minimum bank balance applies.
Tipalti
Tipalti automates AP with supplier onboarding, tax-form collection and global payments, and scans incoming bills to prevent duplicate submissions. It is most useful when you pay suppliers in several countries or need supplier self-service. For a domestic business paying a few dozen bills a month, it is more than you need.
Which one fits
If you meet Ramp's eligibility requirements, its free plan is hard to beat for bill pay with approvals and QuickBooks Online sync. BILL is the established choice when you want detailed approval rules and need automatic sync, which means its Team plan or higher. Very small businesses paying a handful of bills a month can start with Melio. Tipalti is for companies with international or high-volume supplier payments.
If you want approvals, scheduling and 1099s on top of QuickBooks Online but prefer to keep paying through your own bank, OutflowDesk fits; if you want the AP tool to send the payments, choose BILL or Ramp.
Common questions
- Can QuickBooks Online pay bills?
- Yes. QuickBooks Online records bills and can pay them through Intuit's bill pay service, depending on your plan and region. Teams usually add a dedicated AP tool when they need multi-step approvals, automatic bill capture from email, or more payment options.
- What does accounts payable automation actually automate?
- Reading bills (vendor, amount, due date, line items), routing them to the right approver, scheduling payment for the due date, making the payment, and recording the bill and payment in QuickBooks. The person still decides what to approve; the tool removes the typing and chasing.
- How do AP tools prevent duplicate payments?
- Most compare new bills against existing ones by vendor, invoice number, amount and date, and warn before a match is paid. Check how each tool matches: a duplicate sent with a slightly different invoice number may slip through a strict invoice-number check.
- Do AP tools handle 1099s?
- Many track payments to 1099 vendors and some file the forms. Whether payments are recorded correctly for 1099 reporting also depends on how the vendor is set up in QuickBooks, so confirm with your accountant at year-end.
